Ok, it’s a little bit of a trick, but consider from this perspective:
Ever wonder how some people seem to be busy all the time but don't really get anywhere? They're always ticking off tasks, yet they don't seem to make substantial progress towards any significant achievements.
The culprit? A lack of alignment between their daily
activities and their bigger, strategic goals. Most people don’t have a big
picture of where they want to wind up.
Instead, they are micromanaging daily activities that may or may not take them in a meaningful direction.
At the end of your days do you want to say “I worked so hard and did not wind up where I wanted?” I recently coached a young salesperson whose only goal was to replace her VP of Sales. That is noble, but should managing 8 other salespeople be the height of your ambitions? Would it take 40 years of hard labor to reach this plateau? What about lifestyle? Don’t you imagine your residence, your free time/independence, family vacations, and major life contribution?
Achieving Goals by Mastering Time Management
Let’s start with our vision of where we want to be after our best efforts. Then let’s create the strategy. Then the daily management of tasks will lead to fulfilling the strategy. Time blocks will ensure we work on the most important priorities first each day. We are managing our time to reach the Vision. In reality, time can’t be managed, it is on its own pace. What we manage is our energy expenditure.
Many fall into the trap of being 'busy' rather than being effective. They fill their days with tasks that might seem urgent but aren't necessarily important. This approach can lead to a lot of activity without much in the way of results.
The key to breaking this cycle is strategic goal setting.
When you have a clear understanding of your long-term objectives, it changes
how you view and use your time on a daily basis.
This clarity allows you to distinguish between what is truly important and what can wait. It's about focusing on tasks that move the needle, pushing you closer to your goals, rather than just filling your time with busywork.
Focusing on What Really Matters
Think about it this way: if your goal is to dominate market share in your niche, spending time perfecting a filing system might seem productive, but is it really moving you towards more significant growth? Probably not as much as, say, developing key partnerships or refining your marketing strategy.
The tasks that will have the most impact are the ones that
align with your overarching goals. These are the tasks that deserve the lion's
share of your time and energy.
Letting the Minor Tasks Wait
This is where many struggle—letting the less important tasks wait. It’s tempting to want to clear the decks of small tasks before tackling the big ones. However, prioritizing like this often means you never get to the game-changing activities.
The art of priority management involves being comfortable with letting small things sit on the back burner while you invest in activities with the highest return.
Implementing Effective Time Management
To really make this work, you need to be disciplined about how you manage your time. This might involve setting specific blocks of time each day or week to focus solely on your most impactful activities. It could also mean becoming more comfortable with delegating or saying no to tasks that don’t align with your goals.
In the end, effective time management isn't just about doing more in less time; it's about doing more of what matters most. By aligning your daily tasks with your long-term goals, you ensure that every hour you spend is an investment in your bigger picture.
